How to Compare Real Estate Data Providers

Every lead platform publishes a big record count and a long feature list. Almost none of them publish the things that decide whether the data works for you: where it comes from, how often it is refreshed, what is billed separately, and what happens when you run out of records.

Below are the eight questions worth asking any provider, our own answers to each one, and an honest list of what we do not do.

Eight questions to ask any provider

Ask these before you pay anyone, including us. If a provider will not answer one of them in writing, that is the answer.

  1. Data source

    Where does the data come from, and how often is it refreshed?

    Resold data that is several weeks old means you are calling owners who already signed with someone else.

  2. Record counts

    Is the headline record count the whole country or the part you can actually use?

    A single large number is easy to inflate by counting every row in every table, including records with no usable owner or address.

  3. Skip tracing

    What does the accuracy number on skip tracing actually measure?

    Match rate and accuracy are different measurements, and they are often blended into one friendlier percentage.

  4. Hidden costs

    What is included in the price and what is billed separately?

    Tools that are bundled on one platform are frequently paid add-ons on another, and the gap only shows up on the second invoice.

    Are you charged per seat?

    Per-seat pricing quietly doubles or triples the real cost as soon as you add an assistant or a second caller.

  6. Data export

    Can you get your data back out?

    A list you cannot export is a list you are renting, and it makes switching providers expensive later.

  7. Commitment

    Is there a contract?

  8. Overage

    What happens when you use up your record allowance?

Straight answers about what we do not do

Every platform has gaps. Here are ours, in writing, so nothing is a surprise after you subscribe.

We do not offer a free trial.

Data is delivered the moment you subscribe, so a trial would mean giving the product away. What you can do instead is open the real sample files on this site before paying, start on Assessors Data at $60 per month, and cancel anytime because there is no contract.

We do not have a native mobile app.

The platform runs in the browser and works on a phone or tablet, but there is no iOS or Android app to download today.

We do not run SMS campaigns.

Outbound from LeadCruncher is calling through the Triple Dialer, direct mail through Mail Merge, and email. If text messaging is central to your process, budget for a separate tool.

Successor and probate data is weekly, not daily.

County probate courts publish their filings on a weekly schedule, so we refresh successor and probate records every Tuesday rather than claiming a daily feed we cannot deliver.

No. Records are delivered as soon as you subscribe, so there is no way to trial the product without giving it away. You can download real sample files of every data set from our resources page first, and the entry plan is $60 per month with no contract.

County records are free but they arrive one county at a time, in inconsistent formats, with no owner contact detail attached. LeadCruncher standardises 3,000+ counties across all 50 states into one searchable grid, refreshes it on a published schedule, and lets you skip trace any record for $0.25.

Most people do not start with all three. Assessors Data at $60 per month includes pre-foreclosure filings and covers the widest range of situations. Add Successors or Probate once you know which motivation you close best. The Bundle at $250 per month is the cheaper route only if you want all three.

A realistic first month is the $60 plan plus skip tracing on the records you decide to call, at $0.25 each. Every new subscription also includes a batch of free skip trace records, and the dialer, CRM and mail merge cost nothing on top.
